Academic Admissions Database for Applicant Management System

Originally built for a school within a university, this secure web-based system enables an organization to track inquiries, applications, financial aid awards, academic profile information, print award letters, generate year-to-year comparisons, and more. The system can also integrate with a central database to retrieve daily updates.

Scenario:
Your school or department is part of a larger university that provides official registrar information. However, you need to collect and track more information than the limited amount of information collected by the official registrar. You've been using a Microsoft Access or FileMaker database, but it crashes frequently when too many people are using it at the same time. The database has all kinds of extra screens and queries that no one uses anymore. You know you need a better system to track information about the applicants to your program, but it also needs to work with the university's system to get the latest updates.

Solution:
In partnership with the admissions office of a local university, Urban Insight originally developed this secure, web-based system to allow admissions staff to track and manage inquiries, applicants, students, offers of admission, and financial aid awards. The system has been refined to include the features that many admissions departments will need or want.

• System that enables automated importing, comparing and updating of data from a centralized database or batch file.
• Interface for making student awards, tracking financial aid transactions, scholarship conditions, printing of award letters, and a student transaction log of all awards made, revoked, accepted, or declined.
• Detailed logging capabilities to track changes to student data.
• Up to 15 customized reports based on your admissions process.
• Tracking of inquiries, including point of first contact, which allows the ability to track conversion of inquirers to applicants.
• System that runs on Microsoft SQL Server, Oracle or PostgresSQL.
• Relational database schema that ensures that the system can continue to grow with your school or department as you add additional functions.
• Compliance with the privacy requirements of the Family Educational Rights Protection Act (FERPA).
• Ability to compare historical data to current applications, allowing you to easily track year-to-year performance as of a certain date.
